・Accommodation is reserved exclusively for  participants! Indulge in yummy coffee, chat into the wee hours, and/or go for a morning ride.

Day 2: November 14 (Sunday)

Event Details

・ Upon check-in, all participant’s must undergo a temperature check, submit the wellness check documenting two weeks of temperature checks and general health, then sign a participant waiver.
・Average mid-November temperature is between 15℃ to 5℃ 
・Plan for rain and/or cold weather. Bring rain gear and cold weather apparel including gloves, hats, and extra layers. 
・ Cycling guides will lead the course and provide support. Do not overtake the lead cycling guide
・ A support car will accompany each day’s events and function as a moving aid station. Personal belongings can be stored in the support car, including gear for unexpected weather or temperature changes.

All participants receive a cycling cap souvenir gift. Plus, the opportunity to meet Mitsuhiro Suzuki, who competed in the 1988 Seoul Summer Olympics and is the current general manager of the Bridgestone-Anchor cycling team.

Event Participation Agreement

Before registering for this trail running monitor tour, please confirm you can fulfill the following requirements: 

(1) Provide feedback in writing and/or in person
(2) Consistently post on personal social media about the event
(3) Allow general public use of all imagery, including but not limited to still photos and video, taken during the event

Social media posts are required and should be posted using the following hashtags #裾野市 #s-spo

・ You consent to and will give copyright to the event organizer and affiliates for the use of photography, motion pictures, articles, recordings or any other record of this event (including personal information, such as name, age, gender, personal record, portrait, and etc.) for legitimate purposes and use in newspapers, TV, magazines, internet and any media publishing such as Facebook posts, Instagram posts, and pamphlets.
・You agree to provide information as a monitor tour participant, including completing surveys and providing feedback when requested

・Keep record of your body temperature and physical wellness for two weeks on the assigned health check document. This must be submitted during check-in on November 13.
・Wash and sanitize hands as frequently as possible.
・Wear a mask or  face covering at all times, except when running. 
・Avoid the 3 C’s (closed spaces, crowded places, and close-contact settings) and keep appropriate physical distanced at all times
・Temperature will be taken every day. Those with a temperature of over 37.5℃ may not participate in the day’s events. 
・If you have experienced any of the following in the two weeks preceding the first day of the monitor tour, you should not participate in the event:
(1) Fever (defined as body temperature over 37.5℃)
(2) Sub-optimal health (for example, showing cold symptoms including but not limited to cough, sore throat, headache, fatigue, lethargy, and/or experiencing difficulty breathing or loss of ability to taste or smell, etc. 
(3) Being a close contact with one or more individuals who have tested positive for COVID-19
(4) Being a close contact with one or more individual suspected of having COVID-19, including family members and close acquaintances living togethe

* Event may be modified, postponed, or canceled depending on COVID-19 state of emergency measures and related national or local mandates. In case of cancellation due to COVID-19, entry fees will be refunded 

・No refunds, deferrals, transfer of rights, name changes, or credits will be issued after registration due to personal circumstances. 
・The organizer has the right to make a decision on the modification and/or cancellation of the event due to force majeure circumstances, including an earthquake, strong winds, heavy rain, snowfall, an incident, an accident, an epidemic, etc. Event cancellation notifications will be delivered by 1800 the day before via email and/or social media channels.
・If the event is canceled due to force majeure reasons (such as bad weather conditions) that cannot be attributed to the organizer, the organizer cannot be held liable. In addition, the organizer will not reimburse or refund any participation fees, transportation fees, and other expenses incurred in order to participate in the event. The same applies to participants who cancel at any point, depart early for any reason, or do not show up.
・Participants must follow the safety management and operation instructions of the organizer. If the organizer determines that it will not be possible to continue during the event, participants must abide by the organizer’s instructions to cancel.
・In rare circumstances, if the number of participants changes dramatically, the remaining participants may be liable for paying the difference.

If you cancel your entry, you may be eligible for a partial refund depending on when you cancel. Please view the refund schedule below for details:

・80% of your total amount (less 5% for processing fees) will be refunded if you notify us of cancellation between 2359 October 25 to 2359 November 5
・70% of your total amount (less 5% for processing fees) will be refunded if you notify us of cancellation between 2359 November 6 to 2359 on November 11, 2021
・60% of your total amount (less 5% for processing fees) will be refunded if you notify us of cancellation no later than 2359 on November 12, 2021
・50% of your total amount (less 5% for processing fees) will be refunded if you notify us of cancellation no later than 0900 on November 13, 2021
・0% of your total amount will be refunded if you notify us of cancellation after 0900 on November 13, do not notify us of cancellation at all and/or are a no show

If the safety of participants, team members, and/or partners appear compromised, the organizers reserves the right to cancel the event at their discretion. Refunds are not granted once the event has commenced. Samurai Sports and the organizers are not responsible for any losses incurred for non-refundable travel costs.

・In the event of a self-inflicted accident or accident involving injuries and/or damage to a third party during the event, the organizer will promptly file a claim with the insurance policy.
・Any compensation for accidents and injuries during the event is within the coverage purchased by the organizer. As a rule, the costs of medical treatment are wholly the participant’s responsibility.
・Participants waive, release, and discharge the organizer and its affiliates from liability and will not claim damages, etc. regarding injuries, accidents, loss of personal property, damage to personal property, etc. during the event.
・In the unlikely event of catastrophic injury or accident, participants should be enrolled in protective insurance coverage, such as personal injury insurance and personal liability insurance.

Insurance coverage for this event is as follows:
・Aioi Insurance: Domestic travel accident insurance
・Death and/or permanent disability: JPY 3 million
・Hospitalization: JPY 3,000 per day
・Outpatient: JPY 2,000 per day
・Mountain rescue insurance is not included but recommended for all participants

・Any and all personal information received will be used within the scope necessary for event operations and conforms to privacy protection laws. Your personal information is used to provide you valuable services, such as event information, service from race affiliates, etc. The race organizer and its affiliates may contact you regarding your registration information and may release your personal information in case of emergency.
・ The copyright and portrait rights of the photos taken by the staff during the event belong to the organizer

Participate at your own risk and assume all inherent risks associated with participating in this event, a potentially hazardous activity that can result in serious injury, accident, or death. Participants should be physically fit and have sufficiently trained to participate in this event. Pay attention to your own health and be cognizant of your personal limitations at all times.
・Participants must comply with all rules, instructions, and contents set by the organizer, and pay full attention to safety and health management. If at any point, the participant feels unwell or uncomfortable, it is the participant’s responsibility to report to the organizer as quickly as possible and stop participating when it is safe.
